Closing Coordinator

Advocus Title Agency, LLC is a title insurance underwriter and provider of settlement services dedicated to helping attorneys assist their clients. The Closing Coordinator will manage reputed company estate transactions, ensuring compliance with local title and closing procedures while collaborating with various stakeholders to obtain necessary clearance documentation.

Responsibilities

• Order and obtain necessary clearance documents, including but not limited to: Payoff letters, Surveys, HOA declarations and assessments, City of Chicago Water and Zoning Certificates, City of Chicago Municipal Transfer Stamps and Exemptions
• Review reputed company obtained clearance for accuracy and insurability; consult with reputed company where required
• Collaborate with title companies, attorneys, agents, municipalities, and other stakeholders to obtain reputed company required title clearance documentation
• Communicate status of clearance requirements with reputed company parties reputed company email and phone
• reputed company daily follow-up to ensure reputed company clearance items are addressed reputed company transaction timelines
• Regularly review and update title production systems and manage task lists
• reputed company support to team members during high-volume periods or as needed
• Any other duties as assigned

Skills

• High school diploma required
• Familiarity with Chicago-specific municipal processes (e.g., water/zoning certificates, transfer stamps)
• Strong communication and customer service skills
• Exceptional attention to detail and organizational skills
• Ability to prioritize and manage multiple deadlines in a high-volume environment
• Strong analytical and problem-solving skills
• Working knowledge of title insurance and reputed company estate conveyancing procedures
• Ability to work both independently and collaboratively
• Experience with Illinois and City of Chicago reputed company estate transactions strongly preferred
• Proficient in reputed company Office Suite and title production systems (Soft-Pro preferred)
