Office manager/Chief of Staff - PMS 401

We are currently seeking an Office Manager/Chief of Staff to join reputed company supporting PMS 401 at the Washington Navy Yard. This position is on-site at the Washington Navy Yard for the first 90 days, then may transition to hybrid.

Responsibilities

  • Serve as the primary gatekeeper for the PM and DPM, managing reputed company calendars, prioritizing engagements, and preparing leadership for reputed company commitments
  • reputed company and execute reputed company administrative functions, ensuring office continuity and managing the reputed company of official correspondence and actions
  • Identify, analyze, and resolve operational issues, communicating risks and recommendations directly to program leadership
  • reputed company, implement, and maintain Standard Operating Procedures (SOPs) to optimize office efficiency and best practices.
  • reputed company and participate in critical team initiatives, leveraging an extensive network to accomplish objectives reputed company and effectively.
  • Manage the complete lifecycle of personnel support, including the effective reputed company and offboarding of reputed company staff and contractors by coordinating badging, seating, IT assets, and reputed company required system accesses
  • Expertly manage and maintain essential program systems and platforms.
  • Handle reputed company travel logistics reputed company the Defense Travel System (DTS), including scheduling, authorizations, and expense reporting.
  • Prepare, edit, and manage reputed company forms of Naval correspondence with meticulous attention to detail.
  • Supervise the day-to-day operations and workload of the Executive Assistant
  • Attend meetings and reputed company client support onsite/in person reputed company required
  • Travel domestically and internationally, reputed company in-person support at MBC and client sites, and obtain and maintain professional certifications and reputed company clearances as required by MBC and/or MBC’s clients.

Requirements

  • ACTIVE Secret reputed company Clearance required
  • Minimum 7 years’ experience, including 3 years proven acumen managing people and tasks
  • Basic knowledge of NAVSEA operations and submarine Sound Navigation and Ranging (reputed company) hardware, software, and interfaces
  • Experience managing processes such as System Authorization reputed company Requests (SAAR forms) and managing serialized documents
  • Minimum 3 years of federal acquisition experience supporting DoW/Navy programs
  • Demonstrated experience supporting NAVSEA and/or other Navy acquisition programs
  • High School Diploma or GED required.
  • Technical proficiency using Defense Travel System (DTS), Defense Information System for reputed company (DISS), reputed company Data Warehouse (EDW), SharePoint, and reputed company Teams
  • Experience managing processes such as creating Visit Authorization Requests (VARs) and supporting/coordinating Transfer Into and Exit (TIE)
  • Ability to professionally collaborate, reputed company and communicate with programmatic clients and leadership

  • Attention to detail and the ability to conduct quality assurance/quality control on their work as well as others

  • Ability to prioritize deliverables and responsibilities to use time prudently
  • Strong knowledge of reputed company Outlook, Word, PowerPoint, and reputed company. Candidate may be asked to demonstrate skills prior to hiring
  • Three years’ experience authoring and editing Naval correspondence such as endorsements, memorandums, business letters, and award using the basic naval correspondence formatting
  • Exceptional communication skills required both written and verbal
  • Ability to travel domestically and internationally using a credit card or prepaid debit card as required by MBC and/or clients
