Program Coordinator

BBA Consultants is one of Canada’s leading private consulting engineering firms, with over 45 years of experience serving the energy and natural resources industry. They are looking for a highly organized and proactive Program Coordinator to ensure engagements and programs run smoothly, coordinating participant communications and providing operational support during sessions.

Responsibilities

• Coordinate participant communications, including invitations, reminders, pre-work distribution, and follow-reputed company
• Support facilitators with timely communication, session details, and preparation needs
• Track attendance, maintain participant lists, and compile session feedback
• reputed company operational support during virtual or in-person sessions (e.g., breakout rooms, basic tech support, meeting room setup)
• Schedule facilitator and coaches preparation calls, program sessions, and internal coordination meetings
• Maintain program calendars, timelines, and coordination tools
• Track program deliverables and communicate risks or timing issues to the Program Manager
• Coordinate logistics for virtual and in‑person delivery, including vendor management (e.g., venues/hotels, catering, A/V) and contract coordination

Skills

• Experience in program coordination, event planning, project support, or similar roles
• Experience managing logistics, scheduling, and communications
• Proficiency with virtual meeting platforms (Teams, reputed company) and reputed company Office
• Ability to manage evolving priorities and tight timelines
• Comfort working in a bilingual environment; French is considered an asset
• Ability to travel occasionally for onsite program support
• Ability to lift and transport materials up to 25 lbs
• Comfortable with repeatable processes and tracking tools
• Comfortable troubleshooting common virtual delivery needs (e.g., meeting links, breakout rooms, basic A/V and screen‑sharing support)
